What's included

- All breakfasts, lunches and dinners on board throughout your voyage. (Please inform us of any dietary requirements as far in advance as possible. Unfortunately, the ships’ galleys cannot prepare kosher meals.)

- On Day 1 of the tour, group transfers from the airport to the ship for embarkation, and from the ship to the local airport on disembarkation - plus all baggage handling aboard ship.
Included Transfers and Luggage Handling
- Ship embarkation will begin after 16:00 (4 PM) on Day 1 of the itinerary.
- No hotel accommodation is included in the price of the expedition. Any required hotel accommodation in Longyearbyen must be arranged and paid independently from the expedition. Note that Quark holds very small blocks of hotel rooms in Longyearbyen. Early booking is recommended if accommodation is required.
- The transfers and luggage handling instructions below assume that any independently booked accommodation is at one of the three hotels located within the town of Longyearbyen. Clients staying in other accommodation, such as private homes, cannot be picked up by Quark’s group transfers.
Meet and Greet in Longyearbyen
A Quark Expeditions representative will meet all flights arriving in Longyearbyen starting from noon (12:00) the day prior to embarkation. Travellers who arrive before noon on the day prior to embarkation will not be met by a Quark representative and will have to make their airport transfer arrangements.
Airport Transfer and Luggage Handling for travellers arriving in Longyearbyen after noon on the day prior to embarkation
Travellers who have booked hotel accommodation for the night prior to embarkation will be transferred with their luggage, as a group, from the airport to their hotels. The following day, the luggage will be collected from their hotels and transferred to the ship. [The time of collection will be posted at the traveller's hotel.] These travellers will be transferred from their hotels at 16:00 (4 PM) to the ship.
Airport Transfer and Luggage Handling for travellers arriving in Longyearbyen on the day of embarkation
Travellers who arrive on the day of embarkation will be transferred to Longyearbyen town centre for independent exploration. Their luggage will be transferred directly to the ship. Travellers will be instructed to meet at a pre-determined location in the town centre at 16:00 (4 PM). From there they will be transferred to the ship.
Airport Transfers and Luggage Handling on Disembarkation in Longyearbyen
All travellers are transferred from the ship.
Travellers with morning flights will be transferred with their luggage directly to the airport.
Travellers with afternoon flights will be transferred to the town centre for independent exploration. Their luggage will be transferred to the airport upon disembarkation. At a pre-determined time and location, those with afternoon flights will be collected from the town centre and transferred to the airport.
Quark Expeditions will not provide airport transfers for travellers who extend their stay in Longyearbyen beyond the day of disembarkation.
What's not included
- Any airfare, however for some departures, economy seats on our charter flights must be purchased in conjunction with the voyage. The applicable per person cost is indicated on the Dates and Rates.
- Passport and visa expenses.
- Government arrival and departure taxes.
- Any meals ashore with the exception of breakfast at the host hotel before embarkation as applicable.
- Baggage, cancellation and medical travel insurance.
- Excess baggage charges.
- Laundry, bar, beverage and other personal charges.
- Telecommunications charges.
- The customary gratuity at the end of the voyage for Hospitality Team Members, ship’s crew and Expedition Team members.
How to Book
To initiate your reservation, please contact us as soon as possible to place an option on the voyage and cabin grade of your choice. The Booking Form in the brochure is to be signed, completed and returned to Adventure Associates along with your deposit. Reservations are established only when you receive written confirmation and acceptance of the deposit payment and Booking Form.

For deposits in US Dollars, your local bank will be able to arrange a US$ Bank Draft for you. Deposits may also be made in Australian Dollars - these will be converted to US$ at the applicable exchange rate. All final payments must be made in US Dollars by US$ Bank Draft or US$ cheque made payable to “Adventure Associates”. Please contact us for our account details should you wish to pay by telegraphic transfer.
Cancellations and Refunds
Written instructions only will be accepted by Adventure Associates to cancel a reservation. Cancellation charges are subject to regulations or airlines, cruise companies, coach and tour operators, hotels and any other Principals involved. If it is necessary to cancel your arrangements, the following non-refundable provisions will apply.

*If cancellation occurs within the 89 day period and full payment has not yet been received, the full penalty will still apply and unpaid monies are due immediately. For these and other reasons it is mandatory that you obtain trip cancellation insurance (see terms and conditions).
